LOCATE THE PERFECT SPOT
Start your planning process with a phone call or e-mail to the Tallahassee Area Convention & Visitors Bureau. Provide the dates, size of group, number of hotel rooms, and meeting space requirements to our staff. The information will be distributed to hotels, restaurants and meeting venues that can accommodate your group. It’s one-stop shopping–saving you the time of contacting multiple hotels, restaurants and meeting venues.

SITE INSPECTIONS
When it’s time to narrow your location choices, the TACVB can assist you with a site inspection to prospective meeting and event venues. If necessary, we can accompany you on site inspections and make introductions on behalf of the group you represent.

EVENT PLANNING
The TACVB will act as liaison with area suppliers such
as caterers, photographers, transportation services, bartenders, rental agencies, tour guides and speakers.

ITINERARIES & TOURS

Assistance is available to create group itineraries and tours to coincide with a function held in Tallahassee. Let the TACVB know how much time you’ve got to fill, and we will assist with itinerary planning. We can help you identify and arrange for tour guides that will board your motorcoach and escort your event participants. We can also identify motorcoach companies to drive your group to off-site venues and events.

TRANSPORTATION
Whether it’s airport pick-up, or transportation from hotels to conference and meeting sites, the TACVB can help you locate appropriate services. When you begin planning for your event or function, make sure to let the TACVB staff know what your needs will be. Often they can suggest ways to handle transportation and parking costs.

VISITORS PUBLICATIONS & WELCOME BAGS
Our Guest Services staff can provide Visitors Guides, restaurant information, brochures to attractions and welcome bags for your group.

HOTEL CONNECTION
We’ll post a special web page exclusively for your group or event on the

TACVB website: www.visitTallahassee.com. If multiple hotel properties are participating, we can post hotel contact information and a range of room rates.

MARKETING & PUBLIC RELATIONS
Events and gatherings that are open to the public can be promoted through the TACVB website: www.visitTallahassee.com, through the TACVB Calendar of Events published twice a year, and through the TACVB’s “May We Suggest” service offered to area hotels. In some instances, a “Marquee Program” is available to promote a city-wide event. We can provide a media list and direct you to local media affiliates.

TOLL-FREE VISITOR ASSISTANCE
Meeting and event planners may use the TACVB toll
free number in their promotions. Live visitor information and assistance is available 8 a.m. - 5 p.m. EST
Monday - Friday and 9 a.m. - 1 p.m. EST Saturday.
